EXECUTIVE ASSISTANT / MARKETING COORDINATOR
Job Summary:
The Executive Assistant / Marketing Coordinator provides high-level administrative support to the Chairman of the Board, President, and Executive Vice President (Executive Team). This role performs a wide range of administrative, organizational, and communication functions while also supporting company marketing initiatives to increase brand awareness and promote sales through management of social media, the company website, printed materials, and event coordination.
Job Duties:
- Own and maintain the Company Master Calendar, including scheduling company meetings and all preparatory meetings for:
- Quarterly Company Meetings
- Quarterly Board Meetings
- Annual Bonding Company Meetings
- Insurance Company Meetings
- ESOP Trustee Meetings
- Answer phone inquiries, direct calls, and receive visitors for the President and Executive Vice President.
- Perform clerical and administrative duties including filing, organizing documents, copying, scanning, mailing, and general office support.
- Responsible for the content, layout, mailing list maintenance, and publication of the Company Newsletter.
- Serve as the point of contact for the Charitable Giving Fund; submit and track requests through the database.
- Maintain the company repository of marketing materials including sales literature, logos, and branded content.
- Create and manage social media content to drive brand awareness and attract new customers.
- Monitor social media platforms daily and conduct competitor research.
- Manage company website updates including blogs, photos, news content, and monitoring contact forms.
- Monitor online customer/public feedback and escalate to the appropriate party when necessary.
- Distribute daily sales leads received through the website to the sales team.
- Utilize tools such as Google Analytics, Webtrax, and PPC campaigns to monitor website traffic and performance.
- Coordinate and oversee the planning and execution of the annual Company Christmas Luncheon and Company Christmas Card initiative.
- Serve as point of contact for SEO campaigns and ThomasNet account; coordinate with divisions and review monthly reports.
- Create advertising content and monitor results for retargeting campaigns for organizations such as NRWA and AWWA.
- Plan, organize, and implement company events such as meetings, luncheons, and special functions.
- Maintain the employee birthday calendar.
- Serve as point of contact for the trade show team; maintain schedules, databases, and materials needed for trade shows.
- Attend executive management meetings; record, distribute, and maintain meeting minutes.
- Prepare and handle confidential reports, presentations, files, records, and correspondence as required by the Executive Team.
- Serve as Company Historian.
- Perform other duties logically associated with the position as assigned.
Qualifications:
- Demonstrated ability to maintain strict confidentiality of sensitive information.
- Bachelor’s degree in Business Administration or related field preferred.
- Five (5)+ years of experience in mid- to senior-level administrative, business, or management roles.
- Strong computer proficiency including Microsoft Office Suite (Word, Excel, PowerPoint, Access, Publisher) and calendar management tools.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and priorities simultaneously.
- Strong organizational, time management, and prioritization skills.
- Valid driver’s license and safe driving record preferred.
